Job Summary
Under the supervision of the Senior Vice President for Education Services, the Chief of Staff for Education will be responsible for agency-wide project management, data analysis and reporting and tracking collaborative activities between departments and divisions as well as leading special projects as assigned.
The Chief of Staff of Education Services plays a critical role in providing analysis and management of divisional priorities, define by the Senior Vice President of Education. The person in this position must possess exceptional attention to detail, outstanding project management and organizational skills and is an excellent communicator.
Administrative/ Project Management Responsibilities
- Work with the leadership team on emerging strategic initiatives from vision to execution, including project management and implementation.
- Assist in identifying critical issues and potential roadblocks to achieving strategic goals and partner with senior and program leaders to address them.
- Improve processes and coordinate organizational procedures to optimize efficiency and productivity.
- Build relationships with Education leadership team to increase the efficiency and effective responsiveness of existing operations; help with tracking new operational strategies.
- Handle internal and external inquiries, develop action plans, and assist with the preparation and dissemination of responses.
- Monitor progress on organizational and program-specific goals via surveys, focus groups, assessments, and attendance.
- Able to work with cross-functional teams and streamline processes to create efficiencies.
- Advanced Microsoft Office skills ad familiarity with other common business applications.
- Attentive to detail and highly organized
- Comfortable with making presentations to an executive-level audience.
- Excellent written and communication skills.
- Knowledge of Paycom and NetSuite preferred.
- Managing Senior Vice President of Education schedule, attend meetings, recording meeting minutes, and ensuring meetings remain focused.
- Work with Senior Vice President of Education to determine division outcomes measures and monitor progress toward meeting identified outcomes.
- Identify opportunities for improvement in the current operating environment.
- Respond to inquiries on behave of the Senior Vice President of Education .
- Provide high -level insight and analysis of the organizations operations to executive staff and other senior leadership.
- Represent HeartShare and its administration, both within and outside the organization, in a manner that promotes the Mission, Vision, Values and Goals of the agency.
- Remain sensitive to and ensure staff responsiveness to cultural differences in HeartShares service population and staff.
- Undertake any additional tasks and initiatives as assigned by the Senior Vice President of Education and/or President and CEO.

Qualifications
- Masters Degree preferred
- Total of five years experience as an executive assistant, project manager or related role
