Manager of Office Experience & Executive Assistant to the CEO

Job Summary:

The Manager of Office Experience & EA to the CEO embodies professionalism, discretion, confidentiality, and collaboration. It’s a highly responsible—and highly rewarding—role. You are an expert in time management, strong organizational skills, excellent interpersonal skills, and possess a deep attention to detail. You know how to deftly navigate both internal requests and help solve issues with external clients & stakeholders.

This successful person hired into this role will work alongside the CEO & our executive team on maintaining client opportunities, identifying, and prioritizing critical activities, organizing meetings, orchestrating special events, supporting the CEO on items both personal & professional and providing great employee/client support. The ideal candidate is based in NYC and can be on-site 5 days a week M-F. This person will be reporting directly to our CEO.

Key Responsibilities:

  • Manage the CEO’s schedules by scheduling meetings, reminding about upcoming appointments or reschedules, and alerting about time-sensitive tasks.
  • Helping to manage meals both for the CEO specifically and for the office in general. Yes, the successful person in this role will be going out to get bagels, pizza and sandwiches.
  • Provide general administrative support by arranging travel, submitting expenses for reimbursement, answering phones, organizing, and maintaining confidential files, and maintaining office supply inventory.
  • Prioritize requests from internal and external stakeholders, clients and partners based on urgency, importance, and relevance to the CEO’s priorities.
  • Help maintain strong relationships with clients and drive successful results from client meetings by sending timely follow-up emails, summarizing key points discussed during the meeting, confirming action items or next steps, scheduling follow-up meetings or calls, preparing materials or reports for follow-up discussions and tracking progress on client follow-ups.
  • Manages & sends out important announcements, updates, Calendar Invites and at times memos to team members. Manage the communication schedule for the executive and at times the Senior Leadership Team (* SLT) ensuring that important deadlines, meetings, and events are scheduled and communicated appropriately.
  • Organize events (small dinners with clients, internal dinners, team events, office lunches and off-sites) by recommending a venue, coordinating with events vendors (catering, vendor booths, games, bands, etc.), and creating memorable experiences at events with thoughtfully curated prizes, vendor selections, and customer/ employee engagement top of mind.
  • Recommend skill-building activities (such as training programs, internal and external guest speakers, etc.) to HR and helps to think through ways to incorporate those skills in the day-to-day work of the team in partnership with other departments.
  • Prepare and edit communications, presentations, and other documents for the CEO.
  • Handle and prioritize time sensitive and confidential information and documentation.
  • Proactively organize and prioritize daily workload.

Essential Skills & Requirements:

  • BA / BS degree in business, marketing, partnerships, or similar experience
  • 1-3 years professional experience in fashion, footwear, media, and/or new business, partnerships supporting a C- level Executive
  • Intermediate to advanced GSuite/Microsoft Office (Word, Excel, PowerPoint) Suite
  • Extremely organized with exceptional time management skills
  • Able to deftly prioritize and pivot on a daily/ weekly/ monthly basis
  • Embraces change and navigates shifts with professionalism, poise & polish
  • Excellent written and verbal communication and interpersonal and relationship management skills.
  • Highly agile and flexible working approach; is trustworthy and discreet
  • Exudes a friendly and personable demeanor.
  • working in an international environment and building solid working relationships with teams across different countries, time zones and cultures is a plus
  • Previous experience in retail and/or wholesale is a plus

Pay: $75,000.00 – $85,000.00 per year
